Hey Devin! Our internal comms intake form is submitted via Asana. We’d like to explore using an AI tool—preferably Copilot—to automatically receive the form, triage it by analyzing the request type, and generate a report or summary. In a previous workshop, you shared a “Started Intake Form” template. Could you clarify where your intake form is hosted and whether the process you covered in the webinar is automated?

Hey there! We also use Asana internally, and I’ll be honest — I don’t have much experience with Copilot specifically (we’re on Google Suite at Workshop), so I can’t speak to the exact automation capabilities there.

But our intake form process isn’t entirely automated today. Employees can submit a request through Asana, and it drops directly into a dedicated project board. From there, our Marketing Project Manager, Layne, helps with assigning owners, prioritizing based on urgency, etc. So while AI isn’t doing the sorting for us (yet!), the workflow itself is structured enough that nothing gets lost and requests don’t just live in someone’s inbox or a Slack DM… thank goodness!

One important note is that in my IC role, I actually sit on the marketing team, so I lean a lot on their existing processes for project intake and workflow management. Marketing teams are usually pretty strong at handling high volumes of requests, deadlines, and competing priorities, and borrowing those systems has been super helpful for leading internal comms as a team of one!

If you’re exploring AI for this, I’d almost think of it as an “add-on” layer once the intake process is already clear — the form questions, categories of requests, and what a “good” submission looks like. Once that foundation is solid, using a tool to help summarize or sort and route requests could be a really natural next step.

And if you want to build something even more custom, I’d actually suggest checking out Lovable. I’ve used it for a few projects, and it allows you to layer in your brand and get pretty personal with the fields and prompts, which can be really helpful if you’re trying to create a more tailored intake + AI experience.
